Venue Hire Terms and Conditions
These Terms and Conditions of Use (hereinafter referred to as “these Terms”) shall apply to all users (including individuals and corporations) who rent the nehan Retreat Center (hereinafter referred to as “the Facility”), located in Kobuchizawa-cho, Hokuto-shi, Yamanashi, for the purpose of hosting events, workshops, retreats, and other similar activities.
By submitting an application, you shall be deemed to have reviewed and agreed to the contents of these Terms.
Article 1 (Scope of Application)
These Terms shall apply to the venue hire agreement between the Facility and the User, and to all transactions incidental thereto.
Article 2 (Establishment of Booking)
- A booking shall be established when the Facility accepts the application and confirms it in the prescribed manner.
- The User must provide necessary information at the time of application, including the representative’s name, number of participants, date of use, and contact information.
Article 3 (Usage Hours)
- Usage hours shall be from the start time to the end time stipulated in the agreement at the time of booking.
- Extensions are possible only with prior approval and will incur additional charges.
Article 4 (Fees and Payment)
- The usage fee shall be the amount quoted at the time of booking.
- The usage fee must be paid at the time of booking or on the day of use, by the method specified by the Facility.
Article 5 (Cancellation and Changes to Booking)
The following cancellation fees shall apply:
- 14 days or more prior to the scheduled date of use: 50% of the usage fee
- 13 days or less prior to the scheduled date of use (including the day of use): 100% of the usage fee
- No-show cancellation: 100% of the usage fee
- Cancellations or changes due to weather conditions such as rain, snow, or high winds are not permitted. However, if the area surrounding the Facility becomes physically inaccessible due to a natural disaster (e.g., typhoon, earthquake, heavy rain), resulting in conditions such as complete road closures or suspension of public transportation, cancellation fees shall be waived upon presentation of official documentation (from a municipality, transportation authority, etc.).
Article 6 (Prohibited Acts)
The User shall not engage in the following acts:
- Acts that violate laws, ordinances, or public order and morals.
- Acts that cause nuisance to other users or local residents.
- Unauthorized commercial photography or sales of goods.
- Bringing in fire or hazardous materials without permission (including bonfires, gas stoves, candles, etc.).
- Damaging or removing equipment and fixtures.
- Smoking on the premises, except in designated areas.
- Use of the main house (prohibited except for the restroom).
- After use, the User must restore the Facility to the condition it was in prior to use.
- Garbage must be sorted and disposed of in the designated location.
- If damage to the Facility, its equipment, or fixtures occurs due to the User’s willful misconduct or negligence, the User will be charged for the costs required for repair or replacement.
- The User is solely responsible for any accidents or vehicle damage within the parking area, and the Facility shall not be held liable.
- In the event of a fire caused by the use of an open flame or other means, the User shall be responsible for all resulting damages.
- The Facility shall not be liable for any damages incurred due to natural disasters, acts of God, delays or suspensions of public transportation, theft, accidents, or injuries.
- The Facility shall not be responsible for the theft of or damage to any items brought in by the User or participants.
- The Facility shall not be held liable for any accidents, injuries, or disputes that occur between participants on the premises.
- The User shall obtain prior consent from the Facility manager before using any facilities or equipment. However, this does not apply to facilities and equipment for which use was approved at the time of the booking agreement.
- The User shall be fully responsible for any damages caused by unauthorized or improper use.
- Bringing food and beverages is permitted, but the User is solely responsible for their management and consumption.
- The Facility shall not be liable for any food poisoning, illness, or other issues arising from food and beverages brought onto the premises.
- Pets are permitted on the premises only with the prior consent of the Facility.
- The User shall be solely responsible for any accidents, damages, or effects on other users caused by their pet.
- In the event of an earthquake, typhoon, fire, or other disaster or emergency, the User and participants shall follow the instructions of the Facility manager and evacuate promptly.
- The Facility shall not be liable for any damages resulting from the cancellation or interruption of facility use due to disaster or force majeure.
- If the User or a participant violates these Terms, or if the Facility determines that their actions cause a nuisance or danger to other users or local residents, the Facility may immediately terminate their use of the premises and demand their eviction.
- In the case of the preceding paragraph, no refund of the usage fee already paid will be made.
Notwithstanding the above, the use of fire may be permitted in a prescribed place and manner only when a Facility manager is present on-site, or when a prior agreement regarding the use of fire has been made between the manager and the User. In such cases, the User must prepare for fire extinguishing and confirm that the fire is completely extinguished after use. The User shall be solely responsible for any fires, accidents, or damages arising from the use of fire.

Article 11 (Handling of Personal Information)
The Facility shall not use the personal information of Users and participants for any purpose other than the operation of the Facility and shall not provide it to third parties, except as required by law.
Article 12 (Insurance)
The User is encouraged to voluntarily enroll in an accident insurance policy or similar coverage in preparation for any unforeseen accidents or injuries during their use of the Facility. The Facility shall not be liable for any damages incurred due to the User’s failure to obtain insurance.
